The JHE PTO is governed by an elected Board of Directors. Each position has specific roles and responsibilities to ensure smooth organizational operation. Please read below to learn more about each position and consider running for a position in the future.
President
The President oversees the work of all the officers and committees to ensure the purpose of the organization is served. The President leads board meetings and general meetings, serves as the primary contact for the principal and assistant principal and handles email correspondence with the Secretary. The President manages the website, JoeHarrisPTO.com. The President has the ability and right to change and/or add bank accounts associated with the JHE PTO, is a signer on the bank account and has access to a debit card. The President takes on the responsibilities of JHE PTO’s taxes and insurance in partnership with the Treasurer and Co-treasurer. The President also keeps a copy of the membership list. One year of experience on the Board is required to be eligible for this position. Term is for 2 years.
Vice President, Event Coordination
The Vice President of Events Coordination oversees all committees and events to ensure teamwork and coordination. The Vice President of Events supports the committees through active participation, assisting with planning and purchasing needed materials. The Vice President of Event Coordination is a signer on the bank account and has access to a debit card for the account. Term is for 1 year.
Vice President, Membership
The Vice President of Membership oversees the membership application process including registration, dues collections and t-shirt distribution. They keep a record of memberships and membership status and provide monthly membership reports. They also manage the Swag Sales and set up items for sale at each General Meeting and other events. The Vice President of Membership assists the President and carries out the President’s duties in his/her absence or inability to serve. Term is for 1 year.
Vice President, Community Relations
The Vice President of Community Relations is responsible for building partnerships with businesses and other community members who are interested in collaborating with JHE and the PTO. They work closely with the Jog-A-Thon Committee Leads to help gather sponsorships and prize donations and will help bring in partners for schoolwide events such as a Family STEAM Night, or other similar events. Term is for 1 year.
Correspondence Secretary
The Correspondence Secretary manages the JHE PTO social media accounts (Facebook and Instagram) and monitors the JHE PTO email inbox along with the President. They assist the Vice President of Event Coordination with committee email correspondence and delegations and is responsible for taking minutes at all meetings (General, Board and Executive) and keeping a record of all meeting minutes. Term is for 1 year.
Treasurer and Co-Treasurer
The Treasurers receive all funds of the organization, keep accurate, transparent records of receipts and expenditures and pay out funds in accordance with the approval of the Board. The Treasurers will present a regular Treasurer’s Report at every meeting and as requested by the Board. There are two treasurers to maintain integrity, transparency and accountability. The Treasurer has access to the bank account and signing ability on the account, but does not have a debit card to the account. The Co-Treasurer has access to the bank account records, keeps the checkbook and is responsible for issuing checks, but does not have signing ability on the account or a debit card. All checks must be reviewed and signed by either the President, Vice President of Event Coordination or the Treasurer. The Treasurer team is responsible for filing taxes by the annual November 30 deadline, along with the President. JHE PTO records are maintained in QuickBooks and it is highly recommended for the Treasurer to have experience in QuickBooks, or similar accounting software. Treasurer term is for 2 years. Co-Treasurer term is for 1 year.
Requirements to serve on the JHE PTO Board:
Serving on the JHE PTO board is both an honor and a commitment. It is a volunteer position and we rely on each other to be accountable and self-managing. Board members need to have a desire to support JHE and help make it the best school it can be and have an ability to work well with others in a collaborative, productive, positive way. Board members will also need to:
- Be a current JHE PTO member
- Have a current, approved RRPS background check
- Attend monthly Board Meetings (generally the 2nd Thursday of each month)
- Attend monthly General Meetings (generally the 3rd Thursday of each month)
- Attend Executive Board meetings (these include the Board, the Principal, Assistant Principal and Staff Liaison) and these are scheduled as needed.
- Be willing to serve on committees (as a lead or committee member), support JHE events and be available to step in and help when additional hands are needed.
- Be engaged in the Board group chat and share your opinion on important decisions and vote in a timely manner.

Nominations and elections take place each April for positions for the following school year. The incoming board will be presented at the General Meeting in May, which is also the Member Appreciation Dinner. Official term dates are July 1 – June 30 for the upcoming school year.
